Van Diemen Pet Expo — Stallholder Agreement
2026/27 Season · Long Beach Reserve, Sandy Bay · Version 1.1

Please read this before you book. You will be asked to accept it at checkout, and doing so forms a contract between you and the Organiser for each market date you book.

1. The parties

The Organiser: EUX Solutions Pty Ltd (ABN 91 637 969 610) trading as Ernie's Bites, which presents the event under the business name Van Diemen Pet Expo, of PO Box 105, Lauderdale TAS 7021. Formal notices to the Organiser must be sent to that address. All other contact is through the contact form on our website.

The Stallholder: the business named in the booking.

2. The event

  • Venue: Long Beach Reserve, Sandy Bay TAS 7005 (grassed reserve area)
  • Season: the second Sunday of each month, 11 October 2026 to 11 April 2027
  • Trading hours: 9:00am – 1:30pm
  • Bump-in: from 8:00am. Vehicles off the reserve by 8:45am.
  • Bump-out: from 1:30pm. Site clear by 2:30pm.

The event is held with the approval of the City of Hobart. All stallholders trade subject to the conditions of that approval and any direction given by Council officers.

3. Stall fee

$45.00 per stall, per market date, inclusive of GST. The Organiser is registered for GST. The GST component of each stall fee is $4.09, and a tax invoice showing that component is issued on payment.

The fee is payable in full at the time of booking. A booking is not confirmed and no site is reserved until payment is received.

The fee covers one 3m x 3m stall site. It does not include a marquee, tables, chairs, power or any equipment.

4. Eligibility

To trade, the Stallholder must:

  • hold a current Australian Business Number (ABN);
  • hold current public liability insurance to a minimum of $10 million, and provide a certificate of currency to the Organiser at least seven (7) days before their first market date. A certificate is required once per policy period, not for each market. A Stallholder whose cover expires part-way through the season must provide the replacement certificate before their next market date;
  • if selling food or drink for human consumption, hold current registration with the City of Hobart, including any required Statement of Trade and food safety supervisor requirements, and provide evidence at least seven (7) days before trading;
  • hold any other licence, permit or registration required by law for the goods or services they offer.

The Organiser may refuse entry to, or remove, any Stallholder who cannot produce current evidence of the above on request.

5. What the Organiser provides

  • One marked 3m x 3m stall site, allocated at the Organiser's discretion
  • Placement on the published site plan, provided before the event
  • Your business named in the published line-up for the market
  • General waste bins, dog waste bags and post-event site clean-up
  • First aid on site

Tables, chairs and marquees are not provided. Stallholders bring their own.

No mains power is available at the venue. Stallholders requiring power must supply their own battery unit and obtain the Organiser's written approval in advance. Generators are not permitted without prior written approval.

6. Stall conditions

(a) Site allocation. The Organiser allocates all sites and may change an allocation at any time. Site preferences are noted but not guaranteed.

(b) Curation and product mix. The Organiser curates the line-up to maintain variety and fair representation. The Organiser does not grant category exclusivity, and the presence of similar traders is not a ground for refund.

(c) The Organiser trades at the event. The Stallholder acknowledges that Ernie's Bites, the Organiser's own pet food business, holds a stall at the event and is also a sponsor of it. The Organiser will allocate sites and curate the line-up on the same terms for its own stall as for any other Stallholder.

(d) Marquees. Any marquee must be secured with weights only, at least 10kg per leg. Pegging into the reserve is not permitted. Marquees that are not adequately weighted must be taken down if directed.

(e) Presentation. Stalls must be staffed for the full trading period and must not be packed down early without the Organiser's agreement.

(f) Noise. This is a low-noise site. Amplified music, loudspeakers and PA equipment are not permitted without prior written approval.

(g) Waste. Stallholders must remove all their own trade waste, packaging and unsold stock from the reserve. Public bins are for visitor use.

(h) Animals. Dogs are permitted on lead at all times. A Stallholder bringing an animal is fully responsible for its behaviour, welfare and containment, and for any injury or damage it causes.

(i) No sub-letting. A stall site may not be shared, sub-let, transferred or on-sold to another business without the Organiser's prior written consent.

(j) Compliance. Stallholders must comply with all applicable law, including the Australian Consumer Law, product labelling and safety requirements, and any Tasmanian requirements applying to pet food and animal products.

7. Changes and cancellation by the Stallholder

  • More than 14 days before the market date: transfer to another market date in the same season at no charge, subject to availability.
  • 14 days or less before the market date: the fee is forfeited. No refund or transfer.
  • No-show: the fee is forfeited. Repeated no-shows may end future bookings.

Fees are otherwise non-refundable. The Organiser commits to venue, promotion and site costs well ahead of each market date.

8. Weather and cancellation by the Organiser

The event trades in ordinary wet weather. Rain alone is not grounds for cancellation or refund.

If the Organiser considers conditions unsafe — including high wind, extreme heat, storm or fire danger — the market may be postponed to the following Sunday. Bookings transfer automatically at no charge. The Organiser will notify Stallholders by 6:00pm on the Friday before wherever possible.

If the Organiser cancels a market date outright and no alternative date is available, the Stallholder may choose a credit toward another date in the same season or a refund of the fee for that date.

The Organiser is not liable for a Stallholder's lost profit, travel, stock, staffing or preparation costs arising from a postponement or cancellation.

9. Liability and indemnity

The Stallholder is solely responsible for their stall, staff, equipment, stock, vehicles and any animal in their care, and for the safety of their site.

The Organiser is not responsible for loss, theft of, or damage to a Stallholder's property, however caused.

The Stallholder indemnifies the Organiser against any claim, loss, damage, cost or expense arising from the Stallholder's participation in the event, their acts or omissions, the goods or services they supply, or any breach of this Agreement — except to the extent caused by the Organiser's own negligence.

Nothing in this Agreement excludes, restricts or modifies any right or remedy that cannot lawfully be excluded, including under the Australian Consumer Law.

10. Conduct

Stallholders must behave courteously toward visitors, other stallholders, volunteers and Council staff. The Organiser may direct a Stallholder to cease trading and leave the venue, without refund, for:

  • unsafe conduct or an unsafe stall
  • abusive, aggressive or discriminatory behaviour
  • trading in goods not disclosed at booking
  • failure to produce insurance, ABN or food registration on request
  • failure to follow a reasonable direction from the Organiser or a Council officer

11. Media, images and privacy

The event is photographed and filmed, and media are invited to attend. By participating, the Stallholder consents to images of their stall, goods and staff being used in event promotion and media coverage without payment.

The Stallholder's business name, description, logo and social media handles may be used in event promotion and on the published site plan.

The Organiser collects personal information to administer bookings, meet Council requirements and communicate about the event. It is handled in accordance with the Privacy Act 1988 (Cth) and is not sold or supplied to third parties for marketing.

Getting in touch. All enquiries are handled through the contact form on our website. We don't publish a phone number. Booked stallholders are given a market-day mobile number in their confirmation email, for use on the morning of a market only.

12. General

This Agreement, together with the booking, is the entire agreement between the parties for the market dates booked.

The Organiser may amend these terms for future bookings. The terms accepted at the time of booking apply to that booking.

This Agreement is governed by the law of Tasmania, and the parties submit to the jurisdiction of the courts of that State.

Acceptance

Acceptance is given by ticking the box when you book:

I have read and accept the Van Diemen Pet Expo Stallholder Agreement. I confirm I hold a current ABN and public liability insurance to $10 million, and that all information in this booking is true.

The Organiser records the date, time and order number of acceptance.
